CUSTOMER SERVICE/ORDER ENTRY SPECIALIST 

Hours are M-F, 7:30am-4:00pm (one remote day per week after training).

Responsibilities

  • Accurately process orders into order fulfillment system (SAGE)
  • Advise customer of scheduled shipping date; communicate any changes, discrepancies, or delays in a timely manner
  • Send shipment notification to customer once truck is in route
  • Issue PO Numbers to suppliers for one-off direct shipments
  • Monitor allocation orders vs. inventory availability, share with Account Reps.
  • Answer incoming calls, as needed
  • Assist logistics and rail coordinators, as needed

Skills

  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel, Outlook, Access, etc.)
  • Experience with entry system (SAGE) or comparable software
  • Ability to work effectively with minimal supervision and to take initiative in problem solving
  • Great attention to detail
  • Willingness to assist other employees when needed and to perform other duties when required

Qualifications

  • High school degree or equivalent. Some college preferred
  • Minimum of two years clerical or office experience in Customer Service or related
  • Prior experience in Logistics, Transportation or a related field is a plus

 

LOGISTICS COORDINATOR

This person will contact freight brokers/common carriers by phone and email and arrange movement of truckload freight shipments in a timely manner via dry vans, flatbeds, bulk hoppers, end dumps and pneumatics. The logistics coordinator will also arrange competitive freight rates using reliable carriers and assist the account representatives as needed. Some experience in the logistics/transportation field is required.

Responsibilities 

  • Work closely with the transportation companies on the pickup, shipment and arrival of freight and cargo for delivery
  • Schedule loads based on rate as well as manage and maintains document exceptions
  • Review open loads and post to Freight Bid Board with details on shipment
  • Logically conclude priority of load based upon date, urgency, availability, origin, miles, etc.
  • Verify previous haul with carriers and reference Customer Management List for customer receiving requirements and restrictions
  • Communicate any discrepancies, delay or problems with Fulfillment Team to ensure customer is informed; document within SAGE
  • Negotiate rates with carriers to ensure rate is competitive; equal to or lower than market rate
  • Acquire new carriers and reach out to current carriers to cover open loads; schedule lanes with carriers based upon the availability, reliability and competitive rate
  • Maintain updated carrier insurance and information in system
  • Advise clients and customer service manager on transportation and payment methods
  • Utilize and improve system functionality and assist in constant process improvement initiatives
  • Utilize computer techniques for analysis, tracking and maintaining information systems and documentation on routes, operational areas to determine most efficient routes
  • Contact carrier representatives to decide and to issue instructions for loading products via a hopper, end dump, pneumatic, van and flatbed trailer vehicles
  • Responsible for general clerical tasks in the office including cleanliness, organization, and safety
  • Maintain a proactive, adaptive and creative approach toward job duties
  • Monitor Vendors records to ensure insurance compliance and contract compliance
  • Serve as the contact person for all truckers within assigned territories
  • Set up and Validate new Transportation Vendors, Brokers and Freight Forwarders for government compliance
  • Answer phones during heavy customer calls or meetings

Skills

  • Competent in the use of Microsoft Office products including Outlook, Access, Excel and Word
  • Experience with entry system (SAGE) or comparable software
  • Ability to work effectively with minimal supervision and to take initiative in problem solving
  • Willingness to assist other employees when needed and to perform other duties as required
  • Ability to complete assigned workload accurately and satisfactorily

 Qualifications

  • Associates degree preferred
  • Minimum of two years office experience preferred
  • Prior experience in Logistics, Transportation or related field is preferred
